Managing Expenses

To access your expenses, simply open the Menu, click Accounting  and select Expense.

Here, you will be able to have an overview of all the expenses generated by the system, as well as by your team. You can also easily filter through your expenses via the filter button in the top right corner.

To add an expense, simply press the New Expense button in the top left corner and follow the following instructions

  1. Click New Expense
  2. Select the document type and date
  3. Select the Supplier and Property
  4. Select the Equipment (if any)
  5. Enter any relevant remarks
  6. Click Add Item to add items to your expense
  7. Choose the item and set the corresponding details such as quantity, unit price, tax and a description of the item
  8. Click Save
  9. You may then change the expense status from Draft to Confirmed to create the Expense

    *Note: Once an invoice status changes to confirmed, you are unable to edit the information as it is already created. So long it is in draft mode, it is editable.

How to create an expense (refund)?
  1. In the Menu on your left, click “Accounting” and select “Expense”.
  2. Click the “+ New Expense” button.
  3. You can select the “Document Type”, “Date”, “Supplier”, “Property”, “Equipment (if any)” and any remarks.
  4. Click the “Add Item” button and proceed to key in the details of the item.
  5. You can select the “Item”, adjust the “Quantity”, “Unit Price”, “Tax” and key in any relevant description for the item before clicking the “Save” button.
  6. Click “Submit”.
How to edit/delete/add item(s) into an expense?
  1. In the Menu on your left, click “Accounting” and select “Expense”.
  2. Select the expense you wish to edit/delete/add item(s) to.
  3. Change the status from “Confirmed” to “Draft” and click the “Submit” button.
  4. Add or remove items accordingly.
  5. Change the expense status from “Draft” to “Confirmed” then press the “Save” button
How to void an expense?
  1. In the Menu on your left, click “Accounting” and select “Expense”.
  2. Select the expense you wish to void.
  3. Change the status from “Confirmed” to “Void” and click the “Submit” button.
