My Agreements Creating An E-Agreement Estimated reading: 7 minutes 2568 views To create an e-Tenancy Agreement (also known as eAgreement), you need to ensure you have already created a Tenancy beforehand. To learn how to create a Tenancy, please click here.You may follow the steps below to create an eAgreement. 1. In the Menu on your left, click Tenancy. 2. Find your desired Tenancy and click the Tenancy Code (written in blue) 3. On the Tenancy page, look for the eAgreement section and click + New Agreement. This is the eAgreement Creation page. There are several sections to go through and fill up accordingly. Some of these sections will automatically pull information from the system while others will require your input. 4. In the Basic Information section, there are the following criteria to fill in/select;TemplateThere is a default template provided and you are free to upload your own template if you choose to do so.Contractual PartiesYou may choose who are the parties whom will sign the eAgreement here. Be it the Operator(Agency), Owner(Beneficiary) or the Tenant.Mode of ServiceHere you may select if you want the eAgreement to be stamped or not. Do note, stamping services as well as stamping fees do apply accordingly and are charged to your iBilikPlus credits.Agreement PeriodThe period is automatically filled in according to the tenancy period.Rent Free PeriodThis part should only be filled if you are providing any period of time in which the tenant does not have to pay rent.Renewed TermThis essentially sets when the eAgreement is to be renewed.Rental for Renewed TermThe selection for this term is completely up to you in how you wish to adjust the rental in accordance to the Renewed term.UseTypically it will be ticked for residential use but in some cases you may be renting out the unit or room for other purposes. 5. In the Property section, most of the information is automatically pulled from the property information. In the Landlord section, there are the following criteria to fill in/select;LandlordThis landlord name is typically pulled from the assigned Beneficiary if the eAgreement is set between Owner and Tenant. Alternatively for eAgreements that are set between Operator and Tenant, the landlord may be selected from the list of users.NameThe name can be adjusted if needed if a full name is to be provided.NationalityThis is to select the nationality of the corresponding person.Identity NumberYou may select from Passport Number, Old IC, NRIC, Business Registration Number or Others.Address (Line 1, City, Postcode, Country, State)You may fill in the address of the Landlord accordingly here.Name (Person In Charge Information)The name can be adjusted if needed if a full name is to be provided.Nationality (Person In Charge Information)This is to select the nationality of the corresponding person.Identity Number (Person In Charge Information)You may select from Passport Number, Old IC, NRIC, Business Registration Number or Others. 7. In the Tenant section, there are the following criteria to fill in/select;TenantThis tenant name is typically pulled from the assigned Tenant based on the TenancyNameThe name can be adjusted if needed if a full name is to be provided.NationalityThis is to select the nationality of the corresponding person.Identity NumberYou may select from Passport Number, Old IC, NRIC, Business Registration Number or Others.Address (Line 1, City, Postcode, Country, State)You may fill in the address of the Landlord accordingly here. 8. In the Rental & Payment section, there are the following criteria to fill in/select;RentalThis value is pulled from the Tenancy data.Advanced RentalIf tenant has made any advanced rental payments and you would like to record it in the eAgreement, you may key it in here.Deposits (if any)If tenant has made any deposit payments, you may key it in here.Rent PaymentYou may select the payment modes available for tenants to pay their rent.Payment DateYou may key in the respective date of payment required.Late Payment InterestIf you wish to charge tenant a late payment interest fee, you may key it in here. Do note, this does not automatically adjust the rent paid by tenant in the system if it is paid late. This only serves as a black and white and part of the eAgreement.Bank, Account Holder & Account NumberYou may provide your company’s bank information in which your tenant may make payments to. 9. In the Meter & Inventory List section, there are the following criteria to fill in/select;MeterIf you have any Smart Meters at this unit, it will typically have its data pulled into the eAgreement here.EquipmentIf you have any Equipment at this unit, it will typically have its data pulled into the eAgreement here. 10. In the Additional Conditions section, there are several criteria for you to select. You may browse through each condition and mouse over the “i” icon to preview the corresponding condition. 11. In the House Rules, Special Conditions & Attachment (Appendices) section, there are the following criteria to fill in/select;House RulesThe default House Rules will be automatically provided when creating eAgreement. You may adjust or add on to these House Rules as you deem necessary.Special ConditionsThis section only needs to be filled up should you have any specific special conditions you would want to highlight.Attachment (Appendices)You may upload attachments such as scanned versions of physical documents (i.e. photocopy of NRIC) in this section. 12. Once done, you may choose to Save Draft or Create Agreement. Save Draft allows you to continue amending it without sending the eAgreement out to either party just yet. Create Agreement will generate the eAgreement and send it to both parties for agreement and signing. How to select the Contractual Parties? Owner & OperatorAn agreement between an owner and operator typically refers to a management agreement in which the owner appoints the operator the responsibilities and rights to manage the said property with a set of agreed upon terms and conditions by both parties.Operator & TenantAn agreement between an operator and a tenant typically refers to a tenancy agreement in which the tenant is renting a room/unit from an operator who is acting as the managing party of the property on behalf of an owner with a set of agreed upon terms and conditions set by the operator.Owner & TenantAn agreement between an owner and a tenant typically refers to a tenancy agreement in which the tenant is renting a room/unit from an owner who is the managing party of the property with a set of agreed upon terms set by the owner. How to save an eAgreement as a draft? Upon completing or preparing the eAgreement, when you scroll down to create the agreement, you can opt to click “Save Draft” to save it as a draft agreement. How to confirm and send an eAgreement for signing? Upon completing or preparing the eAgreement, when you scroll down to create the agreement, make sure you click “Create Agreement” to send if for agreement and signing by the respective parties.
